Our photo and film policy

This policy defines the manner in which photo and visual material of clients is used within Stichting Kinderopvang Huizen. It also describes the parental consent policy and how this photo and visual material may be generated. This policy applies to all employees of Stichting Kinderopvang Huizen.

Use of photo and visual materials

Within Stichting Kinderopvang Huizen, photographs and images of children are actually used for three purposes:

  1. Photo and visual materials for the Parent Portal. Through the Parent Portal, parents are informed of the progress of their child’s day. This is done partly in text and partly accompanied by photos or videos. Generally, individual photos/movies of the child are shared through the Parent Portal. However, other children may be visible or their child may be visible in a photo/movie in other parents’ Parent Portal.
  2. Photo and visual materials for external communications (website kinderopvanghuizen.nl, various social media, advertisements, brochure, poster and flyer materials, etc).
  3. To coach our pedagogical staff in communication and interaction with the children, we work with Video Interaction Supervision (VIB). This is a methodology in which, on the basis of video recordings during work, the employee’s development is discussed in a follow-up discussion. These video recordings will be used only for VIB and not for other purposes and will be deleted immediately after review and reporting.

Parental consent required for use of photo and visual materials child

During the placement interview, parents are informed of our photo policy. It is also discussed that the parent must indicate in the Parent Portal whether the child may be photographed for:

  1. The Parent Portal
  2. External communications

The parent can indicate this in the Parent Portal under the My Permissions heading . Permissions can be changed at any time.

Guidelines for taking photos and videos with children

  • Images at locations will only be taken by location head, teaching assistant or hired professional photographer;
  • If a professional photographer is hired, the children’s parents will be clearly informed in advance and asked for additional permission;
  • Staff members photograph only with equipment owned by Kinderopvang Huizen (phone, tablet or (video) camera);
  • Photo or film material is used only for the purposes described above and not for personal social media pages, websites and the like;
  • When photos or videos are taken, it is always verified that all children who are in the picture have parental permission to be photographed/filmed (check through the Parent Portal). This applies to materials intended for the Parent Portal as well as external communications;
  • Parents can change their consent, so monitoring should be done regularly;
  • When photographing/filming, the ultimate goal is always kept in mind: “to portray child(ren) during a (mood) moment on location.
  • Child(ren) are portrayed with integrity;
  • Activities are also regularly portrayed without children being directly recognizable in the picture;
  • If (grand)parents bring their own photo and film equipment to a location, staff will point them to this photo and film policy. Only your own (grand)child may be photographed/filmed with your own equipment.
  • Video recordings as part of Video Interaction Supervision (VIB) will be deleted immediately after review and reporting.
